How we look after your details

What each form collects

Every form on the site sends only what you type into it, together with the page it was sent from. Nothing is sent until you press the button.

• Free book samplesYour name, your email, how you are reading (for example as a parent or a teacher) and whether you would like HeartWise news.
• Free postersYour name, your email, the poster sets you choose and whether you would like HeartWise news.
• The HeartWise CompassOnly if you ask for your result by email: your email, your name if you give it, the kind of reader you chose, the text of your result and whether you would like news.
• The Culture Check-up and the Workplace PulseOnly if you ask for your result by email: your name, your email, your organisation if you give it, the text of your result and whether you would like news.
• Design your programmeOnly if you ask for your plan: your name, your email, your organisation, your country, a message if you write one, the text of your plan and whether you would like news.
• HeartWise Certified, Camps and WorkplaceYour name, your email, the name of your school or organisation, your country, your message, the options you choose (for example the track, the camp, the group size or the time of year) and whether you would like news.
• Camp and event datesYour name, your email, your country or city if you give it, what you are interested in and whether you would like news.
• The contact formsYour name, your email, your school or organisation, your country, your role, the message you write and whether you would like news. These forms also open your own email app with the message ready to send.

The box that says “Keep me posted about HeartWise” is never ticked for you. If you leave it empty, we use your details only to reply to you and to send what you asked for.

Where it goes

What you send is saved in the HeartWise app, which runs on a platform called Base44. Only HeartWise admins can read those records. The HeartWise team may reply to you by email, and may email you a result you asked for. Those emails are sent through the same platform, which may keep its servers in other countries.

HeartWise is published by Polaricx Education Ecosystem, Colombo, Sri Lanka, and looks after the details you send. We keep them only for as long as we need them to reply to you and to send what you asked for, and you can ask us to delete them at any time.

We do not sell your details.

What stays on your device

Some things are remembered only in your own browser, so that a tool can pick up where you left off. This is kept on your device and is not sent to us:

• your progress and your latest answers in the Compass, the Culture Check-up, the Workplace Pulse and Design your programme;
• the planner: the weeks you tick off and the start date you choose;
• the class counts on the method page;
• whether you turned the gentle sound on or off;
• your Heart Garden and the cards on your Yet Wall, so that they are there when you come back;
• the age band you last chose on some pages;
• the name and role you gave to open the free samples, and the name, email address and choices you gave to open the free posters, so that you do not have to type them again.

You can clear all of this at any time by clearing the site data in your browser.

Using a shared computer, tablet or phone?

The little tools remember things in the browser so you can pick up where you left off. On a computer or tablet that other people use, such as in a classroom, a library or at home, the next person could see them. This button removes them from this device:

• your answers and results in the Compass, Culture Check-up, Workplace Pulse and Design your programme;
• your planner progress, your Heart Garden and your Yet Wall;
• the class counts on the check-in;
• the name and details remembered for the free samples and posters, and your sound choice.

This clears only HeartWise on this browser. It does not touch anything we hold about you after an enquiry; to have that deleted, write to hello@heartwise.world. Please also close the tab when you finish.

Children

The details you give us are used only for the reason you gave them: to reply to you, to send what you asked for and, only if you tick the box, to send HeartWise news. We do not share them, or use them, for any other purpose. The little tools, such as the Feelings check-in, the Yet Machine and the Star certificate, keep what you type on your own device and do not send it to us. If you print a Star certificate, the name you typed stays on that page on your device. The Star certificate has a button to clear it. Please do not type a child’s surname or private details into any form or message to us.

Cookies and tracking

This site does not set advertising cookies, it has no advertising on it, and we have not added analytics or tracking tools to it. The private area used only by the HeartWise team keeps its own sign-in in the browser.

Files and dates

The free book samples and the free posters open as files stored on HeartWise’s file hosting at Base44. When you open one, your browser asks that host for the file, as it does for any web address.

The Camp and event dates page asks the HeartWise app for any dates that have been published. That request carries none of your details.

Your choices

• You can ask to see, correct or delete what we hold about you.
• You can ask us to stop sending HeartWise news at any time.
• You can use every tool on the site without giving us your email. We ask for it only when we need it to send you something.
